Visitor registration in an IT company with datacentre: better safe than sorry

Company buildings with rock-solid access and visitor management. Indispensable for an IT company. Especially when you know that there is also a data centre. After all, confidential information should be handled with care. Quite a feat if visitor registration still requires the use of email and paper. It can be much easier and, above all, safer. Indeed, time for a change. Specific needs require customised solutions. And Cegeka found this at Synguard.

Who is Cegeka?

Cegeka offers end-to-end solutions in the Data, Applications and Infrastructure domains, with a strong mutual connection. They are involved in cloud services, software development, applications, data, etc., as well as customised 5G solutions and the monitoring of data centres and security systems.

No small fish. Cegeka is indeed one of the biggest IT players on the Belgian market. They have 29 branches, 10 of which are in Belgium and the Netherlands. This also poses challenges in terms of strong access and visitor management. And that is exactly what Synguard specialises in.

What do they need?

Cegeka knew what they wanted: a user-friendly visitor registration system, both for reception and for users. The arrival of a visitor used to involve a lot of administrative work. Just like the reporting of their datacentre. Everything had to be entered manually, mailed or written down on paper. And a lot of time went into that.

Visitor registration & automation

A customised solution, that fulfils all their wishes. They found it at Synguard. For visitor registration, this means that they now have software that can register 300 simultaneous visitors. The result: a fully automated registration process. And the logbook has also been digitised. No badges are provided for visitors. Instead they are given a label with their name and the name of the person they are visiting.

“In terms of user-friendliness, the new automated system is a giant leap forward. For example, reports are now generated fully automatically. Across the different countries. This saves us a lot of work during audits”, says Jochem Hansen from Cegeka. “The flexibility of the software is also quite convenient. Our company is growing, so sometimes we want to make certain adjustments or integrate novelties. This is easy to do with the Synguard system.”
